Position Summary:

Responsible for assisting the Sales, Project Management and Operations Departments in the execution of exhibit and display production, ensuring the projects are completed on time according to quality standards, budget, and meet client requirements and our 100% customer satisfaction guarantee. Ability to manage all facets of the project including simultaneously including:

  • Resources: People, equipment, material, time
  • Time: Task durations, dependencies, critical path
  • Money: Costs, contingencies, profit
  • Buyer: Purchasing control
  • Scope: Project size, goals, and requirements

Key Responsibilities:

Estimation:
Estimating is the process of reviewing necessary time, labor and materials that go into a project to win a client bid. The estimator is responsible for determining how much a project would cost, length to completion, and amount of revenue generated by the project, considering factors such as time, labor, vendor, and material costs.

  • The estimator is responsible for reviewing design drawings and specifications with appropriate personnel, studying vendor proposals, blueprints, specifications, and related documents.
  • Obtaining price quotes from vendors
  • Organizing all the information into a formal estimate for quoting by the Sales department

Show Services Coordination:

  • Working with custom exhibit software to develop estimates, proposals, and store all documentation.
  • Identifying and gathering information on trade shows, including addresses, contact names, due dates, etc.
  • Completing timely and accurate orders for trade show services using floor plans, sketches, renderings, oral and written descriptions, and other sources of information.
  • Obtaining price quotes from show service vendors.
  • Ordering of materials and supplies as needed.

Project Coordination: Effectively manage the resources assigned to the project, which includes:

  • Pre-production Planning: Reviewing prospective projects and estimates with sales team and developing project schedules.
  • Production of Exhibits: Work with Operations Manager, Designers & Sales during production phase to ensure all specifications and requirements are met.
  • Administration: Maintaining files and logs on all billing and invoicing information, including graphic drawings, purchase orders, and documentation.

Skills, Experience and Education:

  • Five to 7 years of experience.
  • College education or equivalent work experience preferred.
  • Knowledge of trade shows, show management and phases of exhibit design and production, prices and standards preferred.
  • Must be self-motivated and organized; also, must know how to work independently, multi-task, establish priorities, and meet deadlines.
  • Quickly learn and work across multiple technologies. Ability to shift between work tasks with minimal interruption. Ability to adapt quickly in a fast-paced and continuous-improvement environment.
  • Communication and outstanding customer service skills are critical to represent Captivate Exhibits in a positive and confident manner with both team members and clients.
  • Computer skills to work in ERP which includes asset management software, Microsoft Suite
  • Must present a well-groomed, professional appearance.
  • Must meet all the requirements of Captivate Exhibits including a physical, criminal background check and drug test.
